Nintex Product Descriptions
Nintex uses a standard set of definitions to describe the entitlements included in its subscriptions. For specific entitlements, customers should reference their specific Order Form and the Nintex Master Subscription Agreement or Nintex Enterprise-Wide Subscription Agreement, as applicable, and other incorporated policies available at https://www.nintex.com/legal. Customer’s use of the Nintex Service is subject to the Nintex Customer Use Policy.

Nintex for O365
App Sessions refer to users accessing Nintex Apps and are tracked by unique daily users. Each day a user accesses Apps counts as one session, no matter how many times they access that App during that day, or how many different apps they access.
A Connector is a Nintex Apps and Nintex Workflow component that allows customers to integrate Nintex products to external third-party systems.
A Connection is an integration to a single third-party system utilizing one of the built-in connectors. Nintex Apps does not currently limit the number of connections.
Nintex Connectors means connectors that enable the Nintex products to connect to other Nintex products and services.
Anonymous Access refers to the ability for individuals to interact with Nintex products without the need to be authenticated or uniquely identified within the system. These users access public-facing features or content of the application without logging in.
Nintex Data refers to tables that are organized into columns and rows to store and manage data.
Data Table means a table created to store and manage process-related data. A table consists of data organized into columns and rows.
Data Row means a unique record of data within a Data Table and each column is a property of that record.
Environment refers to a tenant designated for a specific purpose, such as development, UAT/QA, or production.
Limited Action Workflow, relevant only to workflow-based licensing models, means a Production Workflow which is comprised of not more than five (5) Workflow Actions in a workflow design, and does not initiate a separate Nintex Workflow.
Workflow refers to a set of actions that is configured by a workflow designer, which can be initiated and run activities such as creating and updating items and issuing notifications.
Workflow action means an action added when constructing a workflow.
Form refers to a set of controls that is configured by a designer, which can capture data from submitters.
Workflow instance represents one run of a workflow that has been started and does not fail or error. In Progress, Paused, Completed, and Terminated instances are all counted towards entitlement. Only instances run in a production tenant are considered towards entitlement limits.
Production Form means a Nintex Form designed and published into a production environment.
Production Workflow means a Nintex Workflow that is designed and published into a production environment.
Development Form means a Nintex Form designed to run on Test Data solely for the purpose of developing and testing the Nintex Form design.
Development Workflow means a Nintex Workflow which runs on Test Data solely for the purpose of developing and testing a workflow design.
Stand-Alone Form means a form that exists without a workflow, which writes its values to a data store.
Test Data is production data or other data utilized for the sole purpose of testing and evaluating workflow and/or forms designs.
User Designed Action means a set of actions configured to perform a function, which can be reused in multiple workflows in Nintex for SharePoint On-Prem.
Nintex Apps for Salesforce – formerly known as Skuid SFX
A Connector is a Nintex Apps component that allows customers to integrate to external third-party systems.
A Connection is an integration to a single third-party system utilizing one of the built-in connectors. For licensing purposes, connecting to two different Salesforce orgs via the built-in Salesforce connector counts as one connection while connecting to two different systems via REST counts as two connections.
Data Table means a table created to store and manage process-related data. A table consists of data organized into columns and rows.
Data Row means a unique record of data within a Data Table and each column is a property of that record.
Standard Internal User is a uniquely identified individual employed by or directly affiliated with the customer who is licensed to access the Nintex business application. Internal Named Users can perform a range of activities, including creating, managing, or maintaining applications, as well as reviewing content, approving tasks, or interacting with the application to support business processes.
External (Community) Logins means an authenticated digital experience served through a one-time user login (corresponding to a user login that would have a communities, portal or external license in Salesforce). A login occurs when the user has access to the service. The organization is entitled to a pooled number of logins rather than unique users.
External (Community) User means an authenticated digital experience user (corresponding to a user that would have a communities, portal or external license in Salesforce). Users can log in as many times as they want during a billing cycle without additional cost.

Nintex Process Manager – formerly known as Promapp
Process means all process maps, process models, or text-based descriptions of a procedure in Customer’s Nintex Process Manager tenant, including Published, Unpublished, Archived and Out of Date Processes.

Document is any file that is uploaded or linked in the Documents area of Process Manager. This includes images, videos, Microsoft Word, Excel, PowerPoint files, etc.
Nintex DocGen®
Nintex DocGen® for Salesforce – formerly known as Drawloop
Nintex DocGen® for Salesforce GE – formerly known as Drawloop for Government
Document Generation means the creation of a document using the Nintex Service.
Document Package is the combination of data, documents, and delivery instructions used with a Document Package Execution.
Document Package Execution means one completed run of a Document package to generate document(s).
Event-Driven Document Package means a Document Package initiated automatically upon the occurrence of an event.
User-Driven Document Package means a Document Package initiated manually by a user.
Nintex eSign – formerly known as AssureSign
Electronic Document means any document uploaded in the Nintex eSign Service.
Electronic Signature or “E-Signature” means the capability of Nintex eSign to include an electronic sound, symbol, or process attached to or logically associated with an Electronic Document and executed or adopted by a person with the intent to sign the Electronic Document.
Envelope is a virtual container that holds all the documents, signers, and notifications involved in the e-signature process. It has a 10MB limit for all documents or 100 pages. Envelopes are billable when sent, not by successful signature. All envelopes are aggregated among all of Customer’s Users, and do not carry over from one twelve (12) month license period to the next.
KBA or Knowledge-Based Authentication is a method used to verify the identity of a signer by asking them a series of questions based on public data sources.
Recipient means a person or entity that receives an electronic document through Nintex eSign, including as an approver, signer, by being copied on a Transaction, or otherwise.

Nintex RPA LE (Legacy Edition) – formerly known as Foxtrot
Botflow means a series of actions which include a manual or automated start and a termination or end in a physical or virtual desktop environment.
Machine means a single desktop (physical or virtual) that the Nintex RPA User has specifically designated to run a Nintex RPA Bot.
Unattended Bot means a program in the Nintex platform assigned by a Nintex RPA User to autonomously complete tasks on a Machine, functioning as a virtual worker.
Attended Bot means a program in the Nintex platform assigned by a Nintex RPA User to complete tasks on a Machine on demand by a worker.
Wizard means a series of RPA actions which include a manual or automated start and a termination or end in a physical or virtual desktop environment.

Nintex Automation K2 Form is a form designed and published in the K2 Designer.
Nintex Automation K2 Workflow means a set of actions designed and published in the K2 Designer which include an automated or manual start with singular or multiple end points.
Production K2 Form is a K2 Form designed and published into a production environment.
Production K2 Workflow is a K2 Workflow published into a production environment.
Named User means any user that has been granted access to the K2 Service by the Customer Administrator in order to interact with the K2 Service, including but not limited to approvals, tasks, comments, or interactions with forms. K2 Named Users remain active for twelve months from the date of last log-in to the K2 Service.

Licensing and Permitting Solution
Permit Applications means each instantiation of a submitted permit or license application. One submission counts as one “permit application.”
Employee Onboarding Solution
Employee Onboards means each instantiation of a new employee that begins the onboarding process. One initial onboard form counts as one “employee onboard.”
Generally Applicable Terms
Purchased Volumes means the applicable Processes, Workflow Instances, App Sessions, Bots, Document Generations, eSignatures, Users and other applicable limits set forth in the Order Form.
Users means the individuals who are authorized by Customer to have access to the Service. Users may include Customer’s employees, contractors, agents, consultants and other third parties authorized by Customer to utilize the Service on its behalf, subject to the applicable usage limitations. Users may be reassigned by Customer’s administrators, so long as the total number of Users does not exceed the Purchased Volumes.
